Position Title: Farm Products Sales Coordinator
Supervisor: Cheese and Catalog Manager
Employment: Year-round, Full Time
Location: In-person (Shelburne, VT)
Start Date: Immediate opening
Pay range: $52,000-$57,000

Position Objective
This position supports a healthy local food system and advances the Farm's mission to inspire and cultivate learning for a sustainable future by providing excellent cheddar cheeses, maple syrup and other farm products to customers who become an engaged part of our community and landscape through this interaction.
Key Responsibilities
• Maintain and grow our positive Mail Order customer relationships. Be a leader for the department for this most important role.
• Primary point of contact for our Mail Order customers throughout the year. Will manage orders from beginning (by phone or on-line) to end (delivered to shipping), as well as any follow-up needed for customer support.
• Support to Cheese Sales Manager and the expanded Holiday Mail Order Team for systems, staffing, training, and problem solving for the peak holiday season. This includes writing/maintaining detailed instruction manuals.
• Support the Cheese Sales Manager develop and maintain close working relationships with our wholesale and distributor customers and ensure easy and speedy ordering and fulfillment for them.
• Primary responsibility for maintaining the functionality and currency of our two software systems: Orderbot (inventory and order management software) and CV3 (on-line Mail Order store website), including product content.
• Primary interface with accounting, IT, and development for customer transactions and integrated financial and technology functions.
Qualifications and Requirements
• Outstanding and proven customer service skills.
• Strong computer skills including facility with Excel, order management systems, and website back ends. Working knowledge of Orderbot and CV3 preferred. Some facility with HTML editing are beneficial.
• Excellent written communication skills
• Independent and self-reliant, with a 'continuous improvement' mindset.
• Strong attention to detail, as well as ability to optimize the integration of systems.
• Support a continuous effort to build and sustain a diverse and welcoming working and learning environment for all program participants, guests, and staff.
Detailed Duties and Responsibilities Include:
• Daily importing web orders and taking phone orders.
• Migrating orders through complete order processing system
• Making trade-offs to optimize shipping choices for each order including customer expectations, product quality, and cost.
• Fill in for Cheese Sales Manager during absences to ensure Wholesale and Distributor customers are taken care of.
• Support the Cheese Sales Manager with timely invoicing, and monitoring/collection of accounts receivable.
• Support marketing and sales initiatives undertaken by the department
• Focal Point for web-site and inventory/order management system trouble-shooting and primary interface to our software suppliers for tech support and new feature development.
• Key customer support problem solver for failed orders, customer web-site difficulties, and credit card issues.
• Keep Orderbot database , CV3 database, and accounting dept. current with our latest products, costs, and prices.
• Manage weekly tracking and invoice reconciliation of FedEx shipments/charges. Data analysis of shipper performance metrics.
• Awareness of inventory levels of books and printed materials in deep storage that are used by Mail Order.
• Manage recurring orders (cheese club, etc.)
• Support staff data requests.
• Contribute to catalog development and product planning activities.
• Reconcile daily payments.
• Support internal farm transfers and staff shipping requests.
• Daily check-in and pick-up from WC for shared orders/deliveries being sent M.O.
