Corbet Scientific is a growing agricultural chemical company focused on delivering innovative solutions to customers across the agriculture industry. As the business continues to grow and expand its presence throughout the Midwest, Corbet is seeking a Sales Operations & Billing Specialist to provide critical support to its sales organization, customers, and day-to-day business operations.
Based in the Midwest, this individual will work closely with the Business Development Manager and company leadership, serving as an important link between customers, sales, billing, logistics, and operations. The role will support the full customer order process—from quotes and order coordination through shipping, invoicing, and payment—while helping ensure customers receive timely and accurate support.
This individual will also play an important role in Corbet Scientific's continued growth and operational development, including supporting the implementation of a new business management system and helping establish scalable processes across sales, billing, inventory, and customer operations.
Billing & Sales Operations
- Manage customer billing and invoicing processes, ensuring accuracy and timely completion.
- Support accounts receivable workflows, including payment tracking, account reconciliation, and resolution of billing discrepancies.
- Process customer orders, quotes, purchase orders, and related sales documentation.
- Partner closely with the regional sales manager and leadership team to support customer accounts from order entry through invoicing and fulfillment.
- Maintain accurate customer pricing, order, account, and billing information within company systems.
- Coordinate workflows between sales, operations, logistics, and leadership to improve efficiency and documentation accuracy.
Customer & Sales Support
- Serve as a key point of contact for customers regarding orders, invoices, shipment status, quotes, and general account needs.
- Field customer inquiries and coordinate internally to provide timely, accurate follow-up.
- Support sales activity through quote preparation, order coordination, customer communication, and account follow-up.
- Assist with customer-facing and marketing initiatives, including digital campaigns, branded materials, and communication workflows.
Inventory, Logistics, Freight & Shipping Coordination
- Support inventory tracking processes and maintain accurate documentation of incoming and outgoing materials and products.
- Coordinate freight scheduling and customer order shipments.
- Prepare and manage shipping documentation, including bills of lading, packing lists, regulatory transport forms, and vendor shipping requirements.
- Communicate with vendors, carriers, customers, and internal teams to ensure timely delivery, shipment accuracy, and resolution of logistics issues.
- Assist with procurement coordination, special orders, and customer order tracking.
- Maintain structured records for shipping, receiving, and inventory reconciliation within the inventory management system.
Financial & Vendor Coordination
- Support AP/AR workflows, including invoice processing, purchase order approvals, vendor communication, and expense reconciliation.
- Monitor receivables, coordinate payment workflows, and assist with budgeting processes using company financial systems.
Systems & Process Improvement
- Play a key role in the implementation and adoption of a new business management system.
- Assist with data organization, process development, testing, documentation, and workflow transition.
- Help establish consistent processes and maintain accurate, structured digital records across sales, billing, inventory, and customer operations.
Required Skills & Qualifications
- 3–5+ years of experience in sales support, billing, customer service, order management, operations, logistics, or a related function.
- Experience within agriculture, agricultural chemicals, crop inputs, manufacturing, distribution, or a related industry is strongly preferred.
- Experience supporting billing, invoicing, accounts receivable, customer orders, or sales operations workflows.
- Experience coordinating freight, shipping, inventory tracking, or logistics workflows is preferred.
- Comfort working with inventory management, financial, ERP, CRM, or other workflow management systems.
- Exceptional organizational skills and strong attention to detail.
- Strong written and verbal communication skills with the ability to work effectively with customers, vendors, sales representatives, and internal teams.
- Ability to manage confidential documentation with discretion and accuracy.
- Ability to work independently, manage multiple priorities, and thrive in a growing, hands-on environment.
Location
- Midwest-based, with the ability to effectively support Corbet Scientific’s Midwest sales team and customer base.
- Occasional travel may be required based on customer, team, or business needs.
