Position: Bruceton Ag Services - Administrative Assistant

Reporting Relationship: General Manager

The Administrative Assistant will be critical in managing inbound deliveries, timely and accurately receiving transactions, and the flow of inventory. This role will enforce inventory accuracy through regular cycle counts and ensure continuous material is available for production runs, contributing to the overall efficiency and safety of the facility.

In this essential role, the Administrative Assistant primary duties include verifying inventory accuracy, conducting physical and systematic cycle counts, working with supply chain to schedule inbound materials, properly tagging materials for traceability, processing delivery documents, and ensuring proper material storage.

Role Responsibilities
  • Verify inbound shipments, cross-reference physical delivery quantities against packing slips, purchase orders and BOLs, and enter receipts into Merchant AG systems.
  • Flag and document damaged goods, short shipments, or overages on the BOL.
  • Work directly with warehouse and bookkeeper when materials are nonconforming and notify suppliers of issues in order to return or receive credit for materials deemed unsuitable for production.
  • Log expired or damaged items using Merchant AG System.
  • Process Sales for Customers.
  • Cleaning the facility.
  • Answering Phones.
  • Attention to detail in recording data, labeling and maintaining organized storage.
  • Stocking products.
  • Conduct daily, weekly, and monthly cycle counts and monitoring stock levels across all products.
  • Research and identify root-cause inventory discrepancies between physical and systematic counts.
  • Regularly audit bin and floor storage locations in the ERP to ensure physical inventory placements match system locations to maintain 100% location accuracy.
  • Manage material rotation.
  • Maintain accurate inventory records, including quantities, stock levels, locations, and expiration dates.
  • Organize and file incoming goods documents (BOLs, packing lists, etc.) for easy accessibility.
  • Follow safety procedures.
  • Communicate effectively with team members to ensure operational efficiency.

Education
  • High school diploma or equivalent required
  • Basic mathematical and calculation skills

Experience & Skills
  • Experience in a manufacturing facility or inventory preferred.
  • Excellent organizational skills, precision, and attention to detail.
  • Ability to work and think ahead to process receipts, delivery, and return to stock processes.
  • Excellent written and verbal communication skills.
  • Exceptional customer service skills.
  • Strong math and critical thinking skills
  • Ability to work in a fast-paced environment; strong time management skills, and ability to multitask.
  • Ability to work independently with minimal supervision.
  • Strong computer skills with proficiency with Microsoft Office Suite

Physical Requirements
  • Must be willing to work flexible hours including weekends and overtime.
  • Ability to lift up to 50 lbs.
  • Must be able to stand, walk, kneel, and bend for entire shift.
  • Must be able to work with equipment, operating forklift and tractor with loader.
